Adding and Managing Users

How do I help users reset their passwords?

Click the Users drop-down menu and choose Manage Users. Click a user's name in the list to view the user's details. You can search for the user by name or email to go directly to that user. Verify the email address, and click Send reminder email to send a reset-password reminder email to the user. See Adding and Managing Users for details.

How do I view the details of a user?

Click the Users drop-down menu and choose Manage Users. The Manage Users window appears. Click a user's name in the list to view the user's details. You can search for the user by name or email to go directly to that user. See Adding and Managing Users for details.

How do I add a user?

Click the Users drop-down menu and choose Manage Users. The Manage Users window appears. Click the Add a User button. See Adding and Managing Users for details.

How do I edit details for a user?

Click the Users drop-down menu and choose Manage Users. The Manage Users window appears. Click a user's name in the list to view the user's details. How do I remove a user?

Click the Users drop-down menu and choose Manage Users. Click a user's name in the list to view the user's details. You can search for the user by name or email to go directly to that user. Click Deactivate for the user. Select a replacement approver if necessary. See Adding and Managing Users for details.

How do I reactivate a user?

Click the Users drop-down menu and choose Manage Users. Click a user's name in the list to view the user's details. You can search for the user by name or email to go directly to that user. Click Activate for the user. You are given the opportunity to confirm the activation. See Adding and Managing Users for details.

How can a user make a booking on behalf of another user?

The user must go into his or her profile and add a delegate to make bookings on his or her behalf. See the "Delegates" section in Personal and Business Information for details.

How do I allow a user to login on behalf of another user?

Click the Users drop-down menu and choose Enable Delegates. Check the appropriate boxes to allow users to add a delegate or become a delegate, and click Save. For details, see Enabling Delegates.

How do I give someone admin privileges?

When adding or editing a user's information, check the checkbox for Admin Settings to allow admin privileges. See Adding and Managing Users for details.

Company Settings

How do I set the default country and time zone?

Click the Company tab and choose Location from the drop-down menu. Make your changes and click Save. See Setting Up Company Information for details.

How do I set the default currency, time and date, and measurement?

Click the Company tab and choose Location from the drop-down menu. Make your changes and click Save. See Setting Up Company Information for details.

How do I enter or edit my company information and logo?

To set up your company information, click the Company tab, which opens up your Company Profile page. See Setting Up Company Information for details.

How do I assign a primary contact for technical support calls?

Click the Company tab and choose Contact Information from the drop-down menu. See Setting Up Company Information for details.

How can I tell if my users are actively using the services?

General Policies

How do I customise travel policies for all my users?

Click the Services tab and choose Travel from the drop-down menu. Click the Travel link in the left column. See Administering Travel for details.

How can I prevent users from booking first class or business class flights?

Click the Services tab and choose Travel from the drop-down menu. Click the Travel link in the left hand column, and change the policy in the Flight section. See Administering Travel for details.

How do I limit the type of cars users may rent?

Click the Services tab and choose Travel from the drop-down menu. Click the Travel link in the left column. Under the Car Hire section, click the See all car types link. See Administering Travel for details. 

How do I set a per diem for a hotel bookings?

Click the Services tab and choose Travel from the drop-down menu. Click the Travel link in the left hand column. Under the Hotel section, enter the amount for the Per diem for all cities. See Administering Travel for details.

How do I notify users when they make out-of-policy travel bookings?

How can I notify managers when a user makes an out-of-policy travel booking?
