Booking Services as a Delegate
A delegate is someone who can book travel or create expense reports on someone’s behalf. For example, an administrative assistant might be delegate for a manager, or a travel manager might be a delegate for a number of employees.
To add yourself as a delegate for someone else, or to add someone else as a delegate for yourself, edit your profile as described in Personal and Business Information.
To book services as a delegate for someone else, follow these steps:
- Hover your pointer over the Start Assisting tab at the top of the Home page. The drop-down menu that appears shows the users that you can set as a delegate.
- Select the appropriate user name. The selected user’s Home page opens. The user's name appears at the top of the page in the Now Assisting tab.
- Warning: Verify that the Now Assisting tab shows the correct name, so that plans are made for the correct traveller.
- Book the appropriate services. If you select flights for purchase, you need to provide the traveller’s information (if not previously entered by the user in their profile):
- Name (as it appears on a government-issued ID)
- Date of Birth
- Gender
- Payment card information
- Any other required information
- The trip will appear in the Upcoming section of the Home page for both the user and the delegate who booked the trip. The traveller’s name is saved on the record for future reference.
- To stop assisting others, click the Now Assisting tab and select Myself to return to your own Home page. All of the bookings are listed – both your own and those of the people for whom you booked services.
