Capturing Receipts with the Mobile App

You can use your mobile device to capture receipts on-the-go and store them in your Digital Wallet.

Automated Receipt Processing and Intelligent Matching

If your site administrator has enabled the Intelligent Matching and Automated Receipt Processing features, the Digital Wallet recognizes the information on receipts, and merges receipts and transactions for the same expenses, so that you don't have to manually enter the information.

  • Automated Receipt Processing: As you capture receipts, the system performs optical character recognition (OCR) to recognize the date, amount, currency, expense type, and merchant name. The Digital Wallet can even recognize handwritten tips on a receipt. When you add the receipt to an expense report, the information is pre-populated in the transaction associated with the receipt. You can then verify or change the information and save the transaction in the expense report.
  • Intelligent Matching: The Digital Wallet automatically combines corporate card transactions and receipts that represent the same expenditure. You no longer have to manually attach receipts to all corporate card transactions in expense reports, or spend time comparing them. The system matches them based on amount and transaction date.

Capturing a Receipt

Follow these steps to capture a receipt:

  1. Tap Capture a Receipt on the Mobile App main menu, or tap the Capture icon at the bottom of the screen after tapping Expense on the main menu. The camera screen appears with a viewfinder:



  2. Position the receipt in the viewfinder.
    • (Optional) For devices that offer a camera flash, you can tap the flash icon at the top of the screen and set the camera's flash (set to Auto in the above figure).
    • (Optional) For devices that offer a front-facing camera, you can tap the switch camera icon at the top of the screen to switch cameras from back to front.
  3. Tap the big white shutter button to snap the picture. The Receipt screen appears.
  4. Tap Use Photo to save the picture to the Digital Wallet, or tap Retake to retake the picture. 
    Tip: After tapping Retake, you can either retake the photo or tap Cancel.

The receipt images are stored in the Digital Wallet (for more about the desktop version of the Digital Wallet, see Using the Digital Wallet). While stored in the Digital Wallet, the system performs the recognition process for the receipt if Automated Receipt Processing is enabled for your site. When the recognition process finishes, the description appears for the receipt rather than the usual time/date stamp.
